Hiring: EA/Legal Associate at BIOSCAPE

Job Summary
The EA/Legal sits in the CEO's office and serves as the operational backbone for the CEO's decision-making, coordination, and accountability. The role owns four distinct but interdependent functions: CEO calendar and decision support; organisational reporting and rhythm; legal and contract management; and regulatory and compliance coordination. This is a role for an operationally disciplined, commercially aware professional who can hold multiple mandates, distil complex information into clear outputs, and build trust through consistent execution in a fast-scaling, export-facing business.
Key Responsibilities:
1. CEO Calendar & Decision Support
* Manage the CEO's calendar with ruthless prioritisation. Protect 40% of calendar time for unstructured thinking, field visibility, and 1:1s with direct reports.
* Prepare meeting briefs: concise one-page pre-reads with context, key questions, recommended decisions, and stakeholder positions. Deliver briefs 24 hours before each meeting.
* Lead meeting discipline: time management, structured agendas, documented decisions, and action item assignment with owners and due dates. Ensure every meeting produces written output.
* Track CEO actions across meetings: maintain a central log of all open actions owned by the CEO, with due dates. Conduct a weekly sync with the CEO to confirm completion or escalation.
2. Organisational Reporting & Rhythm
* Monitor reporting cadence: ensure weekly, monthly, and quarterly reports from all functional teams (Finance, Operations, BD, Logistics, Plant) arrive on schedule and meet quality standards.
* Consolidate and coordinate: receive functional reports and consolidate them into a unified CEO brief. Flag bottlenecks, inconsistencies, and gaps in reporting before they reach the CEO's desk.
* Manage meeting rhythm: coordinate the weekly operations review, monthly pillar meetings, and quarterly strategy reviews. Prepare agendas, distribute pre-reads, and capture decisions and actions.
* Track board and stakeholder materials: ensure all presentations to MISA Group, investors, or external stakeholders meet professional standards and are delivered on time.
* Maintain reporting standards: create and enforce templates for weekly and monthly reports. Ensure consistency in format, metrics, and submission timelines across all functional teams.
3. Legal & Contract Management
* Maintain contracts register: create and update a central database of all material contracts—customer agreements, supplier agreements, financing agreements, service contracts, and NDAs. Include execution date, key terms, renewal date, and risk flags.
* Track renewal dates: flag contracts coming due for renewal 90 days in advance. Alert the CEO and the relevant functional head (Finance for trade finance agreements, Logistics for shipping contracts).
